What we collect
When you contact us, by email or through our website form: your name, email address, your child's age and anything you choose to tell us in your message.
When you book a session: your name and contact details, your child's name and date of birth, emergency contacts, and any medical needs, allergies or additional needs you tell us about, so that we can keep your child safe.
When you share photos with us, for example of an activity from our website: the photo and your name.
Why we use it
- To reply to you when you get in touch.
- To run our sessions, including bookings, payments and registers.
- To keep children safe, including knowing about medical needs and allergies, and following safeguarding law.
- To send you news about our sessions, but only if you have asked us to. You can stop these at any time.
Under data protection law, we use your information because it is needed to provide the sessions you book, because we have a legal duty to keep children safe, because we have a genuine reason to reply to you, or because you have given your permission.
Children's information
We take particular care with information about children. Only Hannah and Maxine, and any staff working with your child, can see it.
We respect your privacy. However, if we are worried that a child is at risk, we have a duty to share information with the right people to keep them safe. This is in line with safeguarding law and guidance.
Photos
We will never take or share photos of your child on our website or social media without your written permission, and you can change your mind at any time.
If you send us a photo, such as a leaf pattern or bug hotel, we will always ask before sharing it. Where possible, please send photos of the activity rather than your child's face.
How long we keep it
- Enquiries: for up to 12 months, unless you book with us.
- Booking and registration records: for as long as your child attends, then for 3 years.
- Accident, first aid and safeguarding records: for as long as the law and official guidance require.
After that, we delete or securely destroy it.
Your rights
You have the right to:
- ask for a copy of the information we hold about you or your child
- ask us to correct anything that is wrong
- ask us to delete your information, where we don't need to keep it by law
- object to how we use it, or withdraw your permission at any time

If you are unhappy with how we have used your information, please talk to us first. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
